WebEx Messaging: A Digital Demo

The Premise of Webex Messaging 

Most companies these days use some sort of messaging platform for communication, but have you ever thought specifically about why this is? 

With many companies leaning more into hybrid/remote employee bases, the spread of employees is widening over time and space. Coworkers may not be in the office at the same time, or potentially not even in the same time zone. You can have a meeting or a phone call to communicate with team members, but things like quick questions, updates, and other types of small-scale professional interactions just don’t need a formal meeting. You could use email to address this, but with lots of back-and-forth email can quickly become a disorganized mess. This is why so many organizations use messaging—messaging is the unifying force that enables clear, organized, and dynamic asynchronous collaboration between your employees, partners, and clients. It’s chronological, secure, and enables a higher degree of efficiency than email and meetings alone. 

Webex Messaging is part of the Webex Suite, a comprehensive platform of collaboration tools that enable you to communicate better with all your stakeholders. The messaging platform is organized around the concept of ‘’spaces,” which are messaging groups of specific individuals that can be organized by topic. There can be All Staff spaces for organization-wide announcements, team specific spaces, or event spaces for certain events in time. There are also 1:1 spaces between two individuals for private messaging between employees, managers, and external entities like clients or partners.

Features of Webex Messaging 

Threads 

 
 

One of the worst parts about email is how difficult it is to keep conversations organized—not so with messaging!  

Through threads, it is easy to keep different topics of conversations neatly organized within the space, clearly marking the date and time the messages are sent so that exchanges can be reviewed at a later date in a chronological fashion.  

@ Mentions 

 
 

In a large space with many individuals, use of the @ mention (typing the ‘@’ symbol followed by the person’s name) is a way to ping a specific person so that they are notified of messages that directly pertain to them. This is especially useful in spaces that are used primarily for monitoring, because otherwise an important message or question could slip through the cracks.  

File Sharing

File sharing over email can be complicated, with file size limits and attachment issues. Messaging with Webex, however, makes it easy to share files of many different types and sizes. The max file size you can share in the Webex app is 100MB, which is significantly more than the max file size you can send over email for most providers. You can also link Webex with a cloud service like OneDrive or Google Drive and have all your files and documents easily accessible within the app. 

(Linking Webex with your company Microsoft or Google account also makes it easy to schedule meetings, too!) 

Customized Reactions 

 
 

A fun and engaging feature of Webex Messaging is the ability to add different emoji reactions to messages. Instead of just having a small tray of emojis to choose from (e.g. 👍, ❤️, etc.), Webex lets you choose from the entire emoji catalog so that you can react with just the right emoji for the occasion.  

Plus, the GIPHY integration means that you can respond with the perfect GIF, too. 

 
 

Message Forwarding  

Sometimes what gets said in one space needs to be repeated in a different space. Instead of copy/pasting or paraphrasing, though, you can simply forward the message to the other space by right clicking on the message and selecting the forward option. It’s an easy way to share information without have to repeat yourself, or someone else, constantly. 

Use this feature cautiously, though—different privacy regulations, such as HIPPA, limit this type of sharing.
